Job Summary
The Finance and Admin Associate will oversee financial management, human resources, procurement, and administrative functions of IGIRE Rwanda. The role requires strong accounting skills, payroll management, budget development, and compliance with financial regulations. The ideal candidate should be detail-oriented, proactive, and eager to grow into higher financial and administrative responsibilities.
Key Responsibilities
Financial Management:
- Maintain accurate financial records using QuickBooks or any other accounting software.
- Prepare and monitor organizational budgets, cash flow projections, and financial reports.
- Process payments, manage invoices, and ensure timely reconciliation of accounts.
- Ensure compliance with Rwanda’s tax laws, including PAYE declarations and withholding taxes.
- Assist in internal and external audits, ensuring proper documentation and adherence to financial policies.
- Manage petty cash and organizational bank transactions.
Human Resources & Payroll
- Administer monthly payroll and ensure timely salary disbursements.
- Handle statutory deductions (PAYE, RSSB, etc.) and submit declarations to relevant authorities.
- Maintain employee records (contracts, leave, benefits) and ensure HR policy compliance.
- Support recruitment processes, onboarding, and staff performance tracking.
Other Operational Responsibilities:
- Coordinate logistics for meetings, travel, and office operations.
- Ensure smooth office operations (utilities, supplies, vendor management).
- Prepare and file statutory documents with relevant government institutions
- Support grant financial reporting for donors
Requirements and Qualifications:
- Bachelor's degree in finance, Accounting, or related field
- Experience: 1–3 years in finance, accounting, or administration, preferably in NGOs/audit firms.
- Proficiency in QuickBooks or similar accounting software.
- Advanced MS Excel
- Knowledge of Rwandan tax laws (PAYE and RSSB).
- Excellent attention to detail and accuracy,
- Analytical, organizational, and communication skills.
- Solid understanding of financial principles, concepts, and practices.
- Proven ability to manage partners’ funds and prepare financial reports for various stakeholders.
- High level of integrity and commitment to the organization’s mission and values.
- Familiarity with financial reporting standards and regulations.
- Commitment to maintaining confidentiality and integrity in handling financial information.
Key Performance Indicators
- Timely and accurate financial reporting (monthly/quarterly)
- Compliance with tax and statutory deadlines (PAYE, RSSB, etc.)
- Error-free payroll processing and documentation
- Efficient budget utilization and cost-saving measures
- Proper maintenance of procurement and asset records
- Adherence to internal controls and audit recommendations
